A Salesforce quote that looks like $93,600 can become $150,000 once everything it implies is added. None of the extras is hidden in a sinister way. They are just spread across order forms, footnotes and assumptions. Here is a checklist to read a quote the way a buyer's adviser would.
- Sandboxes are billed as a percentage of net licences: 5% for Developer Pro, 20% for Partial Copy and 30% for Full Copy. Many editions already include some.
- On legacy editions, Premier Success adds about 30% of net licences. The new Core, Advanced and Max tiers bundle it.
- MuleSoft carries a $50,000 annual floor. Tableau and Data Cloud have usage components billed in arrears.
- Renewal uplifts compound. A 6% yearly increase adds about $17,000 over three years to a $93,600 subscription.
Why quotes understate the total
A quote lists what Salesforce will invoice. It does not list what you will spend because of it. The gap has two sources: line items that depend on your edition, and costs that live outside the order form entirely. The checklist below covers both. For each item we say where it hides, how big it can be, and whether our estimator models it.

The 12-point checklist
| # | Item | Where it hides | Typical size | Modelled in the estimator? |
|---|---|---|---|---|
| 1 | Sandboxes | Separate order form line | 5%, 20% or 30% of net licences | Yes, with entitlements |
| 2 | Premier Success on legacy editions | Percentage of the order | About 30% of net licences | Yes |
| 3 | Bundled items sold as extras | Slack, Tableau Next, Agentforce lines on Core and above | Can be tens of thousands | Yes, treated as bundled |
| 4 | Agentforce add-on | Per-user line | $125 per user per month at list | Yes, only when not bundled |
| 5 | MuleSoft minimum | Integration line | $50,000 a year floor | Yes |
| 6 | Usage billing | Tableau, Data Cloud in arrears | Varies with consumption | Flagged, not forecast |
| 7 | Portal logins | Experience Cloud line | Depends on usage | Yes |
| 8 | Renewal uplift | Renewal terms | Plan on 6% a year | Yes |
| 9 | Support after go-live | Not on the quote | 10 to 160 hours a month | Yes |
| 10 | Data storage, Shield and other platform add-ons | Add-on lines | Varies | No |
| 11 | Third-party apps | AppExchange subscriptions | Varies | No |
| 12 | Your own staff time | Nowhere | Admin, training, testing | No |
Sizes are list-based from the estimator data, 29 September 2026. Items 10 to 12 are real costs the estimator does not price.
The licence side: items 1 to 8
Sandboxes (1)
A Developer sandbox is free. Developer Pro is 5% of net licences, Partial Copy 20% and Full Copy 30%, unless your edition includes them. Core and above include a Partial Copy sandbox. Advanced and Max include a Full Copy. On Core with a 50-seat benchmark price of $93,600, adding a Full Copy would be $28,080 a year. Before paying it, check the entitlement.
Premier Success (2)
On legacy Enterprise and Unlimited, Premier is about 30% of net licences. For 50 Enterprise seats at the $175 list price, $105,000 becomes $136,500 with Premier. The new tiers bundle it. That is why our Core, Advanced and Max comparison looks at the all-in figure, not the headline price.
Bundled extras (3 and 4)
Core, Advanced and Max bundle Slack, Tableau Next, Premier Success and Agentforce with Flex Credits. If a quote lists them as separate lines for these editions, ask for them to be removed. An Agentforce add-on for 50 users at $125 a month is $75,000 a year at list, a number worth being sure you owe.
MuleSoft and usage (5 and 6)
MuleSoft is built for complex, two-way enterprise integration, and it carries a $50,000 annual minimum regardless of the entry price quoted. For one or two connections, standard APIs or a lighter integration tool are usually enough. Tableau and Data Cloud include usage-based components billed monthly in arrears, so they never appear on your annual purchase order. Budget for them separately.
Portal logins and uplift (7 and 8)
Login-based portal licences scale with usage, so the quote reflects a guess. See Experience Cloud pricing for how to test it. Renewal uplifts compound: with a 6% yearly increase a $93,600 subscription becomes $99,216 in year two and $105,169 in year three, about $17,200 more in total over the first three years than a flat price.
The costs outside the quote: items 9 to 12
Support is the cost most buyers plan for last. In the estimator a small block is 10 hours a month, a fractional admin 40, a managed service 80 and a dedicated admin 160. At $65 an hour that is $650, $2,600, $5,200 or $10,400 a month. At $175 an hour it is $1,750, $7,000, $14,000 or $28,000. Pick the tier for how much change you expect, not how little you hope for.
Three items sit outside any estimator, including ours: platform add-ons such as extra data storage or event monitoring, third-party AppExchange subscriptions, and your own staff time for testing, training and data ownership. Budget a percentage for them rather than pretending they are zero. We say clearly on the tool and in our accuracy article what is and is not modelled.
How to use the checklist
- Ask your account executive for the quote as an itemised order form, not a summary.
- Mark every line against the table above. Anything you cannot place gets a question.
- Find out which items your edition already includes.
- Ask for a renewal cap in writing.
- Add the outside costs, then compare the total with an independent estimate.
If you want a second pair of eyes, bring the quote to a free call. We will line-item it against the estimator and tell you honestly where it looks high, low or missing something. Then read how to negotiate a Salesforce renewal for the next step.
Frequently asked questions
What are the hidden costs of Salesforce?
The usual ones are sandboxes, premium support plans, integration platforms such as MuleSoft with their annual minimums, usage-based charges for products like Tableau and Data Cloud, add-on licences that should have been bundled, renewal uplifts, and the ongoing cost of someone to administer the system.
Do Salesforce sandboxes cost extra?
A Developer sandbox is included. Developer Pro, Partial Copy and Full Copy are charged as a percentage of net licence fees (5%, 20% and 30%) unless your edition already includes them. Partial Copy is included in Core and above, and Full Copy from Advanced up.
What is the Salesforce Premier Success Plan?
It is Salesforce's premium support tier. On legacy Enterprise and Unlimited editions it costs about 30% of net licence fees. On the new Core, Advanced and Max tiers it is bundled, so a quote that adds it separately deserves a question.
What does MuleSoft really cost?
Plan on a minimum annual commitment of $50,000 regardless of the advertised entry price. For a couple of straightforward integrations a lighter integration tool or standard REST is usually enough.
How much will my Salesforce bill rise at renewal?
It varies by contract, but you should plan on an increase and negotiate a cap. Our estimator assumes 6% a year when it projects three-year cost.
Do Salesforce Core, Advanced and Max include Agentforce?
Our pricing data treats Agentforce with Flex Credits as bundled in Core, Advanced and Max. A separate Agentforce add-on is $125 per user per month at list price, so an extra Agentforce line on those editions deserves a question.
Prices in this article are Salesforce list prices in US dollars, per user per month billed annually unless stated, as verified on 29 September 2026.
